This policy explains how H3llo (h3llo.com) handles personal data when you use H3llo.
1. Who we are
H3llo is a tool that helps independent sellers guide their customers through onboarding. The data controller is H3llo (h3llo.com).
2. What we collect
We may collect:
- Your name, email address, phone or WhatsApp number (optional, if you choose to give it), country, and language, and your consent choices with the time you gave them.
- The steps you complete in the guide.
- Messages you send to our assistant, Alex, in web chat or WhatsApp.
- Technical data such as device information, an anonymous visitor ID, and analytics events without personal data.
- Information your seller adds to help guide you.
3. Why we use your data and our legal basis
- To provide the service you asked for and answer your questions, based on a contract or steps requested before entering a contract.
- To send optional email or WhatsApp messages when you have given consent.
- To protect the service, prevent fraud, and improve the product based on our legitimate interests.
4. WhatsApp
Giving your WhatsApp number is optional. If you add it and tick the consent box, Alex sends you a welcome message and messages about your setup on WhatsApp. When you message us on WhatsApp, Meta (WhatsApp) processes your number and messages under its own terms. We store the conversation so we can reply and show it to your seller. Reply STOP at any time to opt out.
We keep your conversations with Alex (WhatsApp and web chat), including the setup step they relate to and whether they were passed to your seller, so your seller can help you and so we can improve our guides and answers. Only your seller, their team leader or manager, and H3llo administrators can read them. Conversations are deleted 24 months after your last activity, or sooner if you ask us to delete them.
5. AI assistant
Alex uses an AI model provider, OpenAI, to generate answers. Your messages are sent to OpenAI for that purpose only. Do not share sensitive information such as card numbers or passwords.
6. Who we share data with
We use service providers that process data on our behalf:
- Your assigned seller or affiliate, who supports your onboarding.
- Supabase for hosting and database services.
- Meta and WhatsApp for messaging.
- OpenAI for AI-generated answers.
- PostHog for pseudonymous analytics.
- SendGrid for email delivery when email is enabled.
We do not sell personal data.
7. International transfers
Some service providers may process data outside the EU or EEA. These transfers rely on Standard Contractual Clauses or equivalent safeguards required by law.
8. Retention
We keep personal data while you use the service and for up to 24 months after your last activity. We then delete or anonymise it unless a legal obligation requires us to keep it longer.
9. Your rights
You may request access to, correction or erasure of, restriction of, or portability of your personal data. You may object to certain processing and withdraw consent at any time.
You may also complain to your local data protection authority. In Finland, this is the Office of the Data Protection Ombudsman at tietosuoja.fi.
10. Security, children, and changes
We use appropriate technical and organisational safeguards to protect personal data. No online service can guarantee absolute security.
H3llo is not intended for anyone under 18.
We may update this policy when our service or legal requirements change. The date above shows the latest update.
